Farewell Reception for Rev. J. Lee Hill

Refreshments:

  • 30 doz. cake squares from Dewey's Bakery
  • Punch--Faux Champagne (Ginger Ale & Apple Juice)

Consumables:

  • Plastic forks
  • Paper plates
  • Napkins
  • Clear plastic punch tumblers

Set-Up:

  • (2) 8' Tables, end-to-end down center of Dining Room for service.
  • White cloth tablecloths.
  • Punch Bowl, Ladle and Platter at north end.
  • Chairs placed around room perimeter.
  • Table in Foyer (Bldg. B) to be cleared for use in signing "farewell journal."
  • (2) Easels for signage.
  • Plastic platters for cake squares.

Notes:

With all of the church activities that are occuring on this date, we will need to make it as easy on the custodial staff as possible. Therefore, we will be providing disposable plates, cups, napkins and flatware--no dishwashing. These items are on the top shelf in the kitchen pantry, labelled "Lee Hill Reception."

Stephen has ordered the cakes squares and will pick up on Saturday. Will bring Sunday morning.

Punch ingredients are in the Refrigerator, labelled "Lee Hill Reception." We will mix the punch in pitchers to replenish the punch bowl. Recipe: 1 part Ginger Ale to 1 part Apple Juice. Note: Stephen is freezing punch mixture into ice blocks for the punch bowl. Will bring Sunday morning. Punch will be served from the bowl. Server to stand at end of table to allow guests access to both sides of the serving table.

We will plate the cake squares in the kitchen and place on serving table in individual portions, rather than serving from a platter. This eliminates congestion and the need for an additional table server.

A "Farewell Journal" will be placed in the Foyer for guests to write greetings to Lee. Signage will direct guests to the table and into the Dining Room. Stephen is also working on a poster to display in the Dining Room, to be presented to Lee at end of reception.

Staffing:

Set-Up: We will meet for a scheduled meeting at 8:30 a.m. Sunday morning, so Stephen has moved the location of the meeting to the Dining Room. We will set out napkins, etc. while we discuss an upcoming event. We can probably mix some of the punch at that time and put the pitchers in the refrigerator.

Food Prep: We will need at least two volunteers to begin plating the cake squares during the Morning Worship service. The serving table can be prepared during this period. Note: With Sunday's level of activity, we do not want to put food out early! Too many people going to and fro, and not enough space.

Service: (1) Punch Server, (3) Kitchen Runners, (1) Foyer Attendant, (1) Dining Room Attendant
